    Organizational Overview

    A well-established organization with a structured finance function is seeking an Accounts Payable Administrator to support day-to-day accounting and administrative operations. This is a full-time, permanent opportunity based in Vancouver, BC, operating in a hybrid environment.


    The role sits within a stable and process-driven team and supports a high volume of transactional work. The environment is highly structured, with clearly defined procedures, policies, and expectations. This position is best suited for someone who values consistency, accuracy, and long-term ownership of routine processes within a defined scope. While the role offers stability and clarity, progression within this function is limited.


    Key Responsibilities

    • Process a high volume of vendor invoices from receipt through payment, ensuring accuracy, completeness, and appropriate approvals

    • Review, validate, and process employee reimbursements in accordance with established policies and documentation standards

    • Administer recurring payments, allowances, and benefit-related transactions

    • Complete corporate credit card reconciliations and related expense entries

    • Maintain detailed tracking files and reconcile transactional data to accounting records

    • Ensure all transactions are properly supported and audit-ready at all times

    • Respond to audit and internal documentation requests as required

    • Serve as a primary point of contact for internal stakeholders, retirees, external partners, and vendors regarding accounts payable, expenses, and benefit-related inquiries

    • Manage a high volume of email and phone correspondence, including follow-ups on missing documentation, approvals, or corrections

    • Clearly explain processes, requirements, and timelines, and return non-compliant submissions for revision

    • Provide timely, respectful, and professional service, including when handling sensitive or complex matters

    • Follow up on outstanding items to ensure deadlines are met and issues are fully resolved

    • Handle confidential and personal information with a high degree of discretion and care



    Qualifications

    • Experience in accounts payable or a similar finance or administrative role

    • Comfortable working in a high-volume, repetitive, and process-oriented environment

    • Proficiency in Excel (basic to intermediate level)

    • Experience using an accounting or ERP system; exposure to mid-market systems is an asset

    • Strong attention to detail, accuracy, and follow-through

    • Well-organized with the ability to manage deadlines independently

    • Clear and professional communicator, able to explain financial or administrative information to individuals with varying levels of technical knowledge

    • Ability to remain calm, patient, and solution-oriented when dealing with sensitive or complex situations

    • High level of professionalism, reliability, and discretion

    • Experience working in a service-oriented environment and supporting a diverse stakeholder group


    The compensation range for this position is $58,000 to $65,000, dependent on experience. With a hybrid WFH policy (2 days in the office Downtown Vancouver per week)
