Description
We are looking for a Sr. Administrative Team Lead to support coordination activities for a dynamic team in Oakville, Ontario within the health pharm/biotech sector. This Long-term Contract opportunity is ideal for a highly organized individual with strong attention to detail who can lead administrative operations, improve workflows, and provide day-to-day guidance to coordinators. The successful candidate will help keep projects, meetings, reporting, and logistics running smoothly while maintaining a high standard of accuracy, compliance, and service.
Responsibilities:
• Provide day-to-day leadership for coordination activities, ensuring work is completed consistently, efficiently, and to a high standard.
• Offer direction and practical support to other coordinators by acting as a key point of contact for questions, issue resolution, and best practices.
• Partner with leadership to investigate escalations, identify root causes, and help implement timely solutions.
• Organize internal meetings by managing schedules, preparing materials, coordinating attendees, and following up on action items.
• Streamline administrative processes and introduce improved workflows that strengthen productivity and support on-time delivery.
• Monitor performance metrics and project progress, then prepare clear updates and reports for management.
• Arrange logistics for meetings, events, and project-related activities, including scheduling, resources, and documentation.
• Maintain adherence to company procedures, regulatory expectations, and industry standards across administrative and coordination tasks.
• Assist with budget-related administration, resource planning, and procurement support as required.Te
• Bachelor’s degree in Business Administration, Project Management, or a related discipline, or an equivalent combination of education and experience.
• At least 5 years of experience in administrative coordination, project support, or a similar function, with previous leadership or supervisory exposure considered an asset.
• Background in the pharmaceutical, biotech, or broader life sciences environment is preferred.
• Strong working knowledge of Microsoft Office 365, including Word, Excel, PowerPoint, and Outlook.
• Experience supporting logistics, scheduling, meetings, events, expense reporting, and general administrative operations.
• Demonstrated ability to work independently while collaborating effectively with cross-functional teams.
• Adaptable, solutions-focused approach with the ability to manage shifting priorities in a fast-paced environment.
• Commitment to fostering an inclusive workplace and contributing positively to team collaboration and communication.
