Description
A respected and community-focused organization in the Lower Mainland is seeking a highly experienced Executive Assistant to the CEO to provide strategic, administrative, and confidential support at the executive level.
This organization delivers impactful programs and services across multiple divisions and is deeply committed to supporting Indigenous communities. The successful candidate will play a critical role in ensuring the smooth operation of the CEO’s office while acting as a key liaison across internal teams, Board members, and external stakeholders.
Reporting directly to the CEO, the Executive Assistant will manage complex priorities, coordinate executive-level communications, and support governance and organizational initiatives. This role requires sound judgment, discretion, and the ability to navigate sensitive and high-level matters with professionalism.
You will act as the primary point of contact and gatekeeper for the CEO’s office, ensuring alignment of priorities, efficient workflow, and timely execution of key initiatives.
Key Responsibilities
Executive & Administrative Support
- Manage the CEO’s calendar, meetings, travel, and daily priorities
- Screen and respond to communications, ensuring appropriate prioritization
- Prepare high-level documents, reports, presentations, and briefing materials
- Draft speaking notes, correspondence, and key messaging
- Maintain confidential records and filing systems
- Anticipate executive needs and proactively support decision-making
Board & Governance Support
- Coordinate Board of Directors meetings, materials, and communications
- Prepare agendas, board packages, and meeting minutes
- Track action items and maintain governance documentation
- Support annual board planning, including meetings, AGMs, and committees
Organizational Coordination
- Support cross-functional initiatives and leadership team priorities
- Coordinate internal and external communications on behalf of the CEO
- Assist with organizational events, partnerships, and stakeholder engagement
- Track deliverables, timelines, and key organizational commitments
Project & Strategic Support
- Conduct research and prepare briefing notes to inform decision-making
- Support strategic planning initiatives and organizational reporting
- Assist with special projects, ensuring timelines and quality standards are met
Operations & Logistics
- Coordinate meetings, travel, and executive-level events
- Prepare expense reports and manage administrative logistics
- Act as a professional representative of the CEO when required
Qualifications
- Bachelor’s degree in Business Administration, Communications, or related field (or equivalent experience)
- 5+ years of experience supporting senior executives, ideally at the CEO level
- Experience within non-profit, government, or social services environments is preferred
- Exposure to unionized environments is an asset
- Strong understanding of board governance practices and procedures
- Advanced proficiency in Microsoft Office and familiarity with project management tools
