    Description

    We are looking for a Client Care Coordinator to join a busy clinic team in Surrey, British Columbia on a Contract to Permanent basis. This in-office opportunity is ideal for someone who enjoys creating a welcoming client experience while keeping appointments, records, and daily administrative tasks organized. In this role, you will support front-desk operations, assist clients with hearing care services and products, and help ensure the clinic runs smoothly during scheduled business hours.


    Responsibilities:

    • Welcome clients upon arrival, confirm their appointments, and prepare them for their visit in a courteous and friendly manner.

    • Coordinate bookings, update schedules, and follow up with clients to help maintain attendance and clinic flow.

    • Support the sale of products by answering basic questions and guiding clients through the purchasing process.

    • Process billing details and assist with claim-related documentation, including support for third-party and workplace-related programs.

    • Manage inbound phone calls, respond to routine client inquiries, and direct requests appropriately.

    • Maintain accurate client information in CRM and office systems while completing general administrative duties.

    • Contribute to smooth daily operations by assisting with in-person training, office coordination, and other clinic support activities as needed.


    • 2+ years of experience in customer service, administrative support, or a clinic/front-desk environment.
    • Strong communication skills with the ability to provide attentive and courteous service to clients in person and over the phone.
    • Proven ability to manage scheduling, appointment coordination, and general office functions accurately.
    • Experience using CRM platforms, Microsoft Office, and computerized administrative systems.
    • Comfortable handling billing information, documentation, and claim-related administrative tasks.
    • Able to work in an in-office setting and manage multiple priorities in a fast-paced client-facing environment.
    • Detail-oriented, dependable, and approachable, with a strong focus on client care and follow-through.
