Administrative Coordinator

Description
We are looking for a detail-oriented Administrative Coordinator to join our team on a contract basis in Caledon, Ontario. In this role, you will provide essential administrative support to the leadership team, ensuring smooth operations and enabling them to focus on strategic initiatives. This position offers an opportunity to contribute to a variety of functions while maintaining the efficiency of day-to-day processes.
Responsibilities:
• Draft and prepare correspondence, presentations, and reports, including those containing sensitive information.
• Organize and participate in virtual and in-person meetings, including preparing agendas and recording minutes.
• Manage departmental mail and courier services, ensuring timely distribution.
• Communicate with vendors to address order inquiries, obtain quotes, and handle returns.
• Coordinate and facilitate projects, events, and initiatives as required.
• Respond to inquiries and requests professionally and efficiently.
• Arrange training sessions and seminars, offering logistical support for ongoing programs.
• Serve as the department liaison for the Corporate Filing System.
• A minimum of 2 years of experience in an administrative role.
• Strong organizational skills with the ability to manage schedules and appointments effectively.
• Excellent customer service skills and the ability to handle inquiries professionally.
• Proficiency in office functions, including document preparation and vendor communication.
• Exceptional written and verbal communication skills.
• Ability to work independently and collaboratively in a team environment.
• Experience with corporate filing systems and maintaining confidential information.
