    Description

    We are looking for an Administrative Assistant to join a contract opportunity within the IT software industry in Vancouver, British Columbia. This position supports daily office coordination by managing front-desk activity, assisting with scheduling, and helping create a welcoming and organized environment for staff, visitors, and service providers. The successful candidate will be comfortable working independently, handling multiple administrative priorities, and providing dependable support for team activities and events.

    Responsibilities:
    • Welcome visitors, manage reception coverage, and provide concierge-style assistance to create a welcoming and organized onsite experience.
    • Coordinate calendars, arrange appointments, and support meeting logistics for team members and internal activities.
    • Communicate with vendors and external service providers to confirm requests, track updates, and help resolve outstanding matters.
    • Liaise with building operations when onsite concerns arise to ensure issues are addressed promptly and appropriately.
    • Oversee incoming and outgoing shipments, including receiving deliveries and preparing items for dispatch.
    • Provide administrative support to the broader team through document preparation, email follow-up, and general office coordination.
    • Assist with event planning and onsite event execution, including scheduling, room setup, and attendee support.
    • Maintain accurate records through data entry and organized tracking of office-related information and requests.
    • Demonstrated experience in an administrative, reception, or office support capacity.
    • Strong customer service skills with the ability to communicate professionally in person, by phone, and through email.
    • Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
    • Ability to manage appointment scheduling, coordinate multiple priorities, and stay organized in a busy environment.
    • Experience handling inbound calls, responding to inquiries, and supporting visitors or customers effectively.
    • Comfortable working independently while using sound judgment to manage day-to-day responsibilities.
    • Accuracy in data entry and record maintenance, with strong attention to detail.
