Robert Half is seeking results-oriented candidates for an Administrative Assistant position, which will perform various administrative and office support duties.     Key Responsibilities:
    - Learn and understand the applicable Collective Agreements. Receive employer contribution reports on daily basis, and ensure payments accurately match to report.
    - Balance and audit reports, confirming hours, rates, calculations, and additional information.
    - Process company adjustments on the MEBS system. Detailed analysis of employer reporting is required to ensure accuracy.
    - Cover paging, enter hours worked, gross wages, confirm date, amount on cheque and if cheque is signed
    - Generate and analyze various reports to identify and reconcile any company imbalances or irregularities.
    - Follow delinquency guide for companies with outstanding balances.
    - Respond to enquiries from Union representatives, companies and members regarding eligibility, vacation pay and other issues.
    - Assist union representatives’ enquiries regarding company, and member reports.
    - Request and distribute cheques from Accounting Department at month end.
    - Enter data on remittance reports submitted by companies.
    - Process benefits self-payments from members.
    - Review payments to ensure accuracy and follow up with discrepancies.
    - Run various monthly queries to assist in monthly reporting.



    Note: Administrators’ duties above may vary according to plan administered.

    Key Contacts/Relationships External and Internal:
    - Reports directly to the Administration Supervisor.
    - Communicates with and answers enquiries from other departments.
    - Deals directly with participating employers, benefit plan members, union representatives and staff.




    Working Hours:
    - Monday to Friday 8:30 am – 4:30 pm
    - Special working condition: rotating shift schedule for Wednesday 1pm to 8pm and Saturday 7am to 12:30 pm.
    - Overtime may be required to ensure employer reports are successfully closed.




    Knowledge, Skills and Abilities:
    - Knowledgeable on relevant Collective Agreement and associated benefit plan.
    - Skill in performing detailed numerical computations.
    - Ability to closely analyze and focus on detailed reporting and investigate discrepancies.
    - Ability to organize and prioritize workload.
    - Excellent written and verbal communication abilities.
    - Strong interpersonal and customer service skills.
    - Needs to have a functioning understanding of the legacy system “AS400”.
    - Ability to multi-task, work under pressure and meet deadlines.





    Minimum Qualifications:

    • Exposure to office administration and clerical processes particularly related to data analysis, and account reconciliation.

    • PC proficient with strong knowledge of Microsoft Office (Excel and Word skills essential).

    • Knowledge of accounting practices a definite asset.

    • Demonstrated mathematical aptitude.

    • Minimum secondary school graduate, post secondary education preferred.
