Travel Assistant

We are looking for a part-time Travel Assistant to join a mining organization in Vancouver, British Columbia on a Contract basis. In this role, you will coordinate a high volume of domestic and international travel for employees, consultants, and contractors supporting an Africa-based site, while helping keep travel plans organized, compliant, and cost-conscious. This position suits someone who is highly organized, responsive under pressure, and comfortable managing frequent itinerary changes in a fast-paced administrative environment.
Responsibilities:
• Coordinate domestic and international travel arrangements for a globally dispersed group of travellers, including flights, accommodations, and related logistics.
• Review incoming travel requests, confirm details, and ensure bookings align with company policies, approval processes, and spending limits.
• Work closely with managers and travel providers to secure timely itineraries, with a focus on advance planning while adapting to urgent or last-minute changes when required.
• Provide administrative support for travel documentation, including visa-related requests and other pre-travel or post-travel requirements.
• Monitor and update the travel schedule for assigned operations and circulate weekly travel information to relevant stakeholders.
• Reconcile travel expenses by matching corporate credit card charges with receipts and invoices and preparing accurate coding support for Accounts Payable.
• Track personal travel deviations, ticket upgrades, and related payroll or deduction information to support accurate record-keeping.
• Respond to travel disruptions such as weather delays, airline changes, or other unexpected issues and help coordinate practical solutions during business hours.
• Offer backup assistance with expense coding and provide general administrative support to executive leadership and the broader team as needed.
• At least two years of experience in an administrative, travel coordination, or similar support role.
• Demonstrated ability to arrange both domestic and international travel with strong attention to detail and accuracy.
• Strong communication and customer service skills, with the ability to work effectively with employees, contractors, managers, and external travel partners.
• Proven organizational skills with the ability to manage multiple bookings, deadlines, and schedule updates in a high-volume environment.
• Experience handling travel expenses, receipts, invoices, or credit card reconciliations is required.
• Working knowledge of Microsoft Office applications, including Excel and Word.
• Ability to remain flexible and composed when resolving itinerary changes, travel disruptions, or urgent requests.
• Familiarity with visa coordination or other international travel documentation processes is considered an asset.
