Robert Half is partnering with a well renowned Owner Managed business that's looking to add an experienced Office & Property Manager to join their growing company. This is a full-time/permanent role in the Ottawa-West region.

Responsibilities:
• Oversee lease administration by updating key agreement details, monitoring renewal timelines, tracking rent changes, and ensuring important obligations and notice periods are addressed on schedule.
• Work closely with ownership and legal advisors to coordinate lease renewals, amendments, tenant issues, and other matters affecting occupancy and contractual compliance.
• Support leasing activity by managing vacant space listings, communicating with brokers and prospective tenants, arranging viewings, and preparing regular updates on market interest and availability.
• Establish and maintain a property service request process that records priority, assigned responsibility, costs, response timing, repair type, and completion status for maintenance work.
• Organize preventive maintenance plans and service arrangements for building systems, structural elements, parking areas, landscaping, safety equipment, and shared spaces.
• Engage approved service providers, monitor contractor performance, and keep insurance certificates, service agreements, inspection documents, and maintenance histories properly documented.
• Prepare operating budgets, compile monthly property performance information, and track key financial indicators such as revenue, expenses, arrears, vacancy levels, and net operating results.
• Administer tenant billings, supporting documentation, and annual reconciliations while assisting with insurance matters, tax-related reviews, appraisals, and financing information requests.
• Manage office administration including correspondence, calendars, meetings, supply coordination, vendor records, document control, and follow-up on action items from leadership discussions.
• Coordinate compliance-related activities, respond to urgent maintenance situations, support tenant feedback initiatives, and safeguard confidential business, employee, legal, and financial information.
Qualifications:
• Must be willing to work on site full-time.
• 3+ years of experience in property administration, office management, accounting support, or a related role.
• Working knowledge of commercial leasing practices, tenant coordination, and property management processes.
• Ability to maintain accurate records, manage deadlines, and oversee multiple administrative and operational priorities at once.
• Familiarity with commercial insurance documentation, contractor coordination, and compliance-related property records.
• Strong written and verbal communication skills with the ability to interact professionally with tenants, vendors, brokers, and internal stakeholders.
