Responsibilities:
• Deliver day-to-day administrative support for property management activities, ensuring records, correspondence, and routine tasks are completed accurately and on time.
• Respond to incoming phone calls, emails, and general inquiries in a clear and attentive manner while providing strong customer service to tenants, vendors, and internal contacts.
• Prepare, update, and maintain administrative documents, reports, and data entries using property management platforms and standard office software.
• Coordinate schedules, appointments, and follow-up activities to support smooth office operations across assigned locations.
• Liaise with internal departments, service providers, and external stakeholders to help resolve issues and keep property-related matters moving forward.
• Provide direct administrative assistance to the Property Manager, including escalating concerns through established channels when required.
• Support office workflow in a fast-paced onsite setting by managing competing priorities and adapting to changing operational needs.
• Handle sensitive information with care and maintain confidentiality in all administrative, customer service, and property-related interactions.
• Demonstrated experience in an administrative support role, ideally within property management, real estate, or a similar office environment.
• Strong verbal and written communication skills with the ability to provide attentive customer service in person, by phone, and through email.
• Proficiency with Microsoft Word, Excel, Outlook, and PowerPoint, along with accurate data entry skills.
• Experience using property management software such as Yardi or similar web-based systems is considered an asset.
• Excellent organizational skills with the ability to manage multiple tasks, maintain accuracy, and meet deadlines in a busy workplace.
• Proven ability to exercise discretion, protect confidential information, and maintain a consistent approach at all times.
• Valid driver's licence and reliable transportation to travel occasionally between office locations as needed.
• Dependable, proactive, and comfortable working onsite during standard business hours.
