Contract Administrator – Customer Service Representative

Description
The incumbent is responsible for examining, analyzing, negotiating and revising contracts that involve the sale of our products. They serve the customers by following up with them on all manufacturing steps (e.g.: milestone reports), providing information and resolving problems.
• Receiving customer current and forecast purchase orders by email
• Reviewing all order details – price, quantity, drawing – to make sure they match with initial negotiated contract
• Analyzing production cost and calculating production and shipping delay on customer orders when necessary
• Communicating shipping dates to customers and negotiating when necessary
• Entering P.O.’s into the MRP /ERP
• Creating the job folder which includes drawings, M.P.S., P.O., material requisition. ,etc.
• Issuing or receiving various reports used for follow ups and decision making. Maintaining various inventory reports for inventory control and client presentation
• Explaining, managing and justifying any discrepancy in shipping delays
• Following up regularly with production, shipping-receiving and/or Purchasing departments about manufacturing steps to ensure planned shipping delays are respected and communicating this information to customers
• Resolving contract problems and negotiating any changes with the customer
• Proposing recovery plans when necessary
• Issuing credit notes to customers
• Occasionally communicating with customer in case of payment issues
• Updating customer database
• Inventory Management , Control & Planning
• Review & reply to Customer Open order report
• Ensure compliance with AS9100 standards
• Performing other related duties as needed

• Occasional visits to the plant, safety glasses and steel-toed shoes are required

Requirements
- Important - College diploma – Operations Management, Administration or related field
- Important - 3-5 years of experience in Customer service, Administration or Management
- Important - Experience in reading Technical drawing and in calculating Production cost
- Important - Product and market knowledge
- Important - Proficient with Computer (Email, Excel, in-house software, Internet, Scanner)
Knowledge and abilities
- Essential - Excellent written and oral communication skills • Bilingual (French and English)
