    DESCRIPTION

    As an addition to our internationally growing Project Management Department, the Project Assistant will have a key support role at Transperfect/Translations.com (TDC) Montreal. Under the supervision of the Team Leader dedicated to one of our VIP clients, your mandate will be to assist with portions of translation and localization projects managed by Project Coordinators and Project Managers. You will be in charge of executing various tasks at different stages of the project life cycle to help the project owners ensure on-time and quality delivery to our client. Although administrative in nature, this job require someone with great relationship-building skills who can clearly communicate with stakeholders at different levels of the organization.     Description:
    • Organize, network, and update internal documents.
    • Format using .doc, .PDF, and .xls files; import images from PDF files to Word document, etc.
    • Provide word count quotes to sales to accurately charge the client.
    • Perform document reviews for consistency and accuracy prior to client delivery.
    • Own follow-up of document transfers on internal and client provided platforms to ensure timely deliver to the appropriate stakeholders.
    • Assist in root-cause analyses for quality improvement.
    • Enter data and accurately log and track all job submissions using our internal project management system.
    • Perform other special projects or duties when required.
    • Act as a liaison for production, sales, linguists, and the client in order to achieve successful results.
    • Track and manage incoming projects on client specific platforms; liaise with our IT Department and that of the client’s (need be) to resolve ongoing issues.
    • Update and align translation memories as needed.
    • Close monthly jobs for client billing; create and send POs to vendors.
    • Attend monthly calls with the client to ensure satisfaction and help brainstorm solutions to solve problems that have occurred.
    • Ensure that the network and shared document platforms are well organized and kept up-to-date on current documents and procedures.
    • Act as the first point of contact for the general office operational needs.

    Required Skills:
    • Ability to effectively multitask in order to simultaneously execute multiple tasks.
    • Exceptional problem solving/critical thinking skills.
    • Ability to maintain professionalism in all situations, especially under tight deadlines and when managing several simultaneous requests.
    • Strong organizational skills with the ability to prioritize activities on a daily basis to accomplish goals.
    • Acute attention to scope and details (ex. spelling, grammar).
    • Strong computer skills and comfortable with changing technology.
    • Willing to learn new things, open to new challenges and thrive on success.
    • Positive attitude in the face of change, client-centered mind-set and pro-active approach to problem avoidance and resolution.

    Required Experience and Qualifications:
    • Bachelor's degree in a related area of expertise.
    • Superior communication skills, fluent in English and French (both written and verbal).
    • Prior experience with standard translation management tools is considered an asset (Idiom, Trados, Wordfast, SDLX, Catalyst…).
    • Knowledge of Acrobat, HTML and XML is considered an asset.
    • Experience with document sharing platforms is considered an asset.
