    The incumbent provides administrative support to his/her immediate superior who supports two functions, i.e. Senior Vice-President, Operational Excellence and Quality. More specifically, the Executive Assistant:

    - Creates presentations (PowerPoint, Excel, Word);
    - Maintains his/her superior’s schedules (meetings, reviews, activities,);
    - Coordinates and assists with queries/requests (i.e. purchases, travel, etc.);
    - Prepares his/her superior’s monthly expense reports and validates those of other team members;
    - Provides tactical support at his/her department level to ensure requirements and deadlines are met (i.e. attendance reports, vacation calendar, requests for access, calendar of deliverables);
    - Drafts correspondence, memos and various reports, including HC documents such as requests for personnel, notices of appointment, departure or change; translates texts or documents;
    - Prepares documents for budgets and capex to be presented at strategic planning sessions;
    - Maintains delegation of authority for the cluster;
    - Prepares quarterly SOX questionnaires with the information gathered from direct team members;
    - Organizes the department meetings and events;
    - Prepares meeting agendas and literature; sits in on meetings and takes the minutes;
    - Prepares purchase orders as required;
    - Performs any other related duties.

    Requirements

    - College degree;
    - Two-to-three years’ related experience in a similar administrative position;
    - Excellent analytical, interpersonal and organizational skills;
    - Solid knowledge of computer applications (i.e. Microsoft Outlook, Excel, Word, PowerPoint);
    - Ability to quickly learn internal systems (i.e. SharePoint, ERP, etc.);
    - Bilingual, French and English (written and spoken);
    - Excellent communication skills;
    - Autonomous, organized, disciplined, customer-oriented, and a team player;
    - Respect for confidential and privileged information.
