  • IT Administrative Assistant

    Responsible for providing administrative support to the IT department while ensuring partners are provided with all materials, resources and information required. Assists with department projects/programs and ensures continuous relationships with third party functions.

    Responsibilities

    •Provide daily support as needed: Coordinate meetings, scheduling, follow up, note taking, etc.
    •Licenses management
    •Associates support and vacation coordination (hiplink)
    •Sick days management and verification in Peoplesoft
    •Recurring IT partners visit (Quarterly UPS check, Yearly pre-action, Quarterly Iron Mountain Paper disposal, Server room A/C verification, etc)
    •Equipment disposal management (Got Junk, disks wiping certificates, etc)
    •Access card management to secured IT locations
    •Training/Conference/trips booking and/or scheduling with process owner
    •OLF related activities management
    •Communications to users (announcement, Security awareness, Incident response plan, etc)
    •On hand stock requests: Associates "drive by" requests for items - chargers, ram, headsets, etc….
    •Home Internet coordination: installs, cancellations and modem retrieval and returns.
    •Vendor invoices reconciliations, validations, follow ups with vendors and Finance.
    •Vendor follow ups (sourcing, prices, SOW, ETA's, etc..)
    •GL accounts follow ups for finance
    •Invoices (get approvals before processing, GL coding, validation )
    •Administrative Blackberry (includes USB sticks) tasks: plans, ownerships, adds, cancellations, activations, moves, etc
    •Assign equipment (i.e. laptops, BB's) for incidents
    •Track equipment and maintain in Asset Management.
    •Recycling
    •Maintenance contracts (validate, renew, cancel, monthly prepaid validations to Finance )
    •Maintain Bell Conference ID's (request creations, cancellations)
    •Manage back stock room & ship and receiving of goods
    •Return Bell equipment (list equipment, advise Bell contact, pack and ship)
    •HP Calls
    •Month end & accruals
    •Keep associates updated on the status on their calls and follow up with them.
    •Coordinate TV/DVD combo's purchase and ship to stores (plus returns from closed L/S to BBW stores).
    •Approve Bell MAC activity for store moves.
    •P.O.'s (create, modify, receiving)
    •Sourcing equipment & prices


    Work Experience and Education

    •College Degree in related field or a comparable level of training such as that which may be acquired through additional work experience and equipment acquisition skills and knowledge.
    •Prior work experience of 3-5 years in related field required, including equipment acquisition, customer service, and budget responsibility.
    •Requires considerable familiarity with current hardware and software.
    •Demonstrated negotiation skills, attention to detail and accuracy.
    •Fluent in both English and French with superior writing skills;

    Functional Skills & Knowledge

    •Extremely computer literate with superior knowledge of Microsoft Office suite and the ability to learn new software applications rapidly;
    •Highly organized, can multi-task and prioritize.
    •Must be able to interact with all levels of business.
    •Solid interpersonal, communication, trouble-shooting and problem-solving skills;
    •Patient, empathetic and capable of working under pressure;
    •Knowledge of corporate operations priorities
    •Strong communication skills with a focus on customer service
    •Ability to resolve issues and be resourceful
    •Ability to work in a fast paced environment and effectively manage multiple tasks
    •Ability to develop and maintain constructive relationships clients/partners
    •Works well as an individual and as part of a team.
