    The Facilities & Corporate Services Team plays an important and valued role at EA. There are a variety of roles across EA that are integral to this team, and each comes with its own set of requirements, expectations, and responsibilities. As facility administrators are public facing, they are expected to have best-in-class communication and customer service skills.

    The Senior Facilities Coordinator will be a dynamic, customer service-oriented, results-focused individual who works quickly and efficiently, builds trust and credibility with key stakeholders, pays attention to the details, and strives to create and maintain world class office environments to attract and retain the best talent in the business. They will have experience managing the operation of multi-use facilities, and outsourced services relationships through expert people and project management skills. The Senior Facilities Coordinator will report directly to the Montreal Facilities and Corporate Services Manager. This position will be responsible for the execution of all aspects of the Montreal studio facility day to day operation and maintenance. As a key member of the local Facilities team, they will also have input into the future business plans of the location.

    Key Responsibilities:
    Manage onsite office services contractors, including but not limited to the following:
    Supervise and back up Reception roles which:
    Manage main phone line, greet/register guests, and provide a welcoming presence for all who enter our office
    Manage mail, shipping
    Ensure on site security protocols are followed
    Handle Concierge/customer service requests, communications, and marketing
    Supervise and back up (including “hands on” when needed) Facilities Coordinator/Assistant roles which:
    Perform multiple daily studio walkthroughs (supplies replenishment and cleanup kitchens and other common areas)
    Perform meeting room or event space set ups (partner with IT for equipment set up)
    Manage Facilities commodities procurement and department expense reporting
    Act as escalation point for any matter pertaining to office service contractors
    Act as project manager as it relates to Facilities operations – as per areas determined by Montreal Facilities Manager.
    Assist Montreal Studio Relocation Project team – as directed for:
    Onboarding of new office services resources over project phasing
    New site services set up
    Studio employee move plan
    Oversee collection, and manage input, of data into FMI space management tool to insure occupied seat count is accurate in real time
    Oversee EA Experience communications (Concierge services, Company e-Store, games and movies library), including website, digital displays, email blasts, and TV content where applicable.
    Develop and implement new and improved processes, procedures and programs related to Concierge, e-Store and general onsite EA experience.
    Act as point of contact for Facilities outside vendors, contractors and sub-contractors (including overseeing new vendor set up and contract negotiations, approvals and management in compliance with company legal guidelines).
    Oversee facilities procurement requests and payables process for all departmental spend in compliance with global finance and accounting guidelines.
    Coordinate and act as main support for all onsite and offsite studio-wide activities and events (including but not limited to monthly socials, yearly holiday events and all local or global Leadership visits or other special functions).
    Support EA’s Health, Safety and Sustainability programs locally (act as an active member on the local Joint Health and Safety Committee, support Global Sustainability activities locally).
    Own and manage weekly studio operational and security audit walkthrough and reporting.
    Support EA’s Outreach (corporate philanthropy) program locally (contribute to and support the local Outreach Committee’s agenda including supporting local events and activities.
    Support Office québecois de la langue française program activities onsite and online.
    Act as escalation point for any open service ticket or query generated by all support teams.
    Oversee collection of bi-weekly reports from Reception for the Employee Transit Subsidy program and the Employee Fitness Subsidy program for employee payroll reporting.
    Oversee input of employee data for company e-Store (creation and termination of employee accounts, and point program administrator).

    Skills and attributes of the successful candidate
    Experience in managing a multi-use facility including the management of outsourced relationships
    Responsive and creative problem solver

    Excellent oral and written communication skills
    Strong skills with Excel, Word, Publisher, Microsoft Outlook and PowerPoint
    Strategic and creative; listens to input, sees the possibilities and is open to applying new thinking and first-time solutions
    Pro-active self-starter who needs little direction and who can initiate activities when opportunities arise versus waiting to react to problems
    Strong organizational skills and follow through on commitments
